A few tips for writing your absence e-mail
The warm weather is here, and your summer vacations are just around the corner. It will soon be time for you to program an automatic reply to your mailbox to inform those who contact you that you're away.
How do you write a clear, precise absence message in English (or OOO mail - Out of the Office)?
First of all, a note of absence should be short and concentrate on the essential information. The elements to include are: the dates of your absence, any reason for it, and a reference to another e-mail address to redirect urgent requests.
- Indicate absence :
I am currently out of the office. I will be back on (date).
I will get back to you as soon as I can.

I'll get back to you as soon as possible.
I will be away from X to Y with no access to email.
I'll be away from X to Y and won't be able to read your e-mail.
- If you check your e-mail while on vacation or away from home :
Thank you for your email. I'm out of the office until Monday, August 14, with limited access to email.
I'm away until 14/08 with restricted access to my e-mails.
- Redirect to another contact :
In case of emergency, please contact: colleague@company.com
For immediate assistance, do not hesitate to contact : colleague@company.com
For urgent matter, please email : colleague@company.com
